We're looking for folks to join our team to help make our Spring 2012 event a memorable one. We're looking for people who are looking to make a contribution to their community, who want to make an impact, who want to be a part of an unforgettable experience.

Event Coordination

Ensure all activities are taken care for a successful event.

  • Create, maintain and manage all activities leading up to the event.
  • Hold regular event readiness meetings, capture and publish action items, ensure follow-up.
  • Create checklist and ensure readiness of all materials and artifacts for event day.
  • Coordinate day-before organizational efforts.
  • On event day, coordinate setup and clean up.
  • Alert/escalate any issues to the Board of Directors.
  • Coordiate post-event activities:
    • Obtain copies of event presentations to post online.
    • Feedback survey.
    • Ensuring all bills/accounts are settled.

Marketing & Promotions

  • Create a marketing plan for the event to generate buzz and excitement, and encourage sign ups.
  • Overall coordination of event marketing.
  • Manage social media properties: Meetup.com, Twitter, LinkedIn, Facebook, etc.
  • Cross-promote among other ProductCamps.
  • Report results on regular basis:
    • Event registrations
    • Effectiveness of social marketing efforts
  • Organize and manage event day marketing efforts:
    • Live Tweeting using #pcampdc during the event
    • Providing a destination for folks to upload photos and videos during the event
    • Live blogging during the event
  • Coordinate post-event feedback

Web Site

  • Create a new ProductCamp DC website working in close collaboration with the Board and Marketing Coordinator.
  • Ongoing management of website, including posting content and managing vendor relationships.
  • Managing any supporting web properties.

Venue Coordination

  • Ensure all venue requirements are nailed down - enough rooms for sessions; locations for registration, networking and food & drinks; free parking; and suitable technology support, such as Wi-Fi, projectors, etc.
  • Partner with a company or contract with a facility to support an all day Saturday ProductCamp event that will support our needs
  • Find a venue (onsite or offsite) for post-event Happy Hour.
  • Obtain contract approval from the Board of Directors.
  • Work with Treasurer to ensure pre-payments are made, if necessary, and settle any accounts/balance after the event.

Catering

  • Obtain a contract with a vendor or partner with the hosting facility/company for food, drinks and coffee.
  • Coordinate with Venue Coordinator on contract and logistics.
  • Obtain contract approval from Board of Directors.
  • Work with Treasurer to ensure pre-payments are made, if necessary, and settle any accounts/balance after the event.

Materials & Supplies

  • Obtain sponsors' logos and order t-shirts, bags, name tags and lanyards.
  • Ensure timely delivery of above materials for the event.
  • Coordinate with Sponsorship lead to ensure sponsors’ logos are received in timely manner to place orders.
  • Bring relevant supplies for the event.
  • Obtain approval on expenditures from the Board.
  • Work with Treasurer to ensure pre-payments are made, if necessary, and settle any accounts/balance after the event.

Scheduling & Sessions Coordinator

Pre-event Preparation:

  • Create indicative agenda that details how the day's events will likely unfold.
  • Solicit session ideas prior to event, and encourage and enable pre-event voting.
  • Design and plan opening session format such as VIP Keynote, Panel Keynote, etc.
  • Write-up pre-event sessions on flip charts.
  • Create presentation template, ensure sponsor logos are incorporated into the template, and publish to session presenters prior to event.

Event-Day Activities:

  • Coordinate with Venue Coordinator to identify location to put up session proposal flip charts.
  • Ensure all participants have sticky notes for session voting.
  • Tally votes and schedule sessions.
  • Orchestrate voting for session awards (Best Session, Most Innovative, etc.).
  • Coordinate with Volunteer Coordinator to ensure there are volunteers to serve as session monitors, note takers, live bloggers, photographers and timekeepers for all sessions.

Volunteer Coordinator

  • Plan and coordinate the activities of the numerous volunteers who will help with set up & clean up, registration, "help desk", session timekeeping and note taking, photography, and other logistics.
  • Work closely with the Scheduling & Session Coordinator on event day scheduling.
  • Help us recruit volunteers.
  • Assign jobs.
  • Organize and coordinate their activities on the day of the event.
